Information we collect
- When you place an order: your name, billing and delivery address, email address, phone number, the items you buy and your order history. Card payments are handled by our payment provider; we never see or store your full card number.
- If you create an account: your login details, saved addresses and order history.
- When you contact us: your name, email address, order number (if you give it) and your message.
- When you join our mailing list: your email address, the date you joined and the page you joined from.
- When you browse our site: technical information such as your device, browser and pages visited. Analytics and advertising cookies are only used if you agree to them — see our Cookie Policy.
How we use your information and our lawful bases
- To process and deliver your order, and handle returns — necessary to perform our contract with you.
- To keep tax and accounting records — necessary to meet our legal obligations.
- To answer your questions and provide customer care — our legitimate interest in helping our customers.
- To keep our website and payments secure and prevent fraud — our legitimate interest, and a legal obligation where applicable.
- To send you marketing emails — only with your consent, which you can withdraw at any time using the unsubscribe link or by contacting us.
- To send you one email inviting you to review your order — only if you tick the box at checkout to ask for it. You can withdraw your consent at any time by contacting us.
- To understand how our website is used and measure our advertising — only with your consent, given through our cookie banner.
Who we share your information with
We only share your information where needed, with:
- our website hosting and email provider (Hostinger);
- our payment provider (Stripe), to take payment and prevent fraud;
- delivery companies, so they can deliver your order;
- Google (Analytics and Ads) and Meta (Facebook and Instagram), only if you accept analytics or marketing cookies;
- professional advisers and HM Revenue & Customs or other authorities where the law requires it.
We do not sell your personal information.
International transfers
Some of our service providers may process information outside the UK. Where this happens, we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
How long we keep your information
- Order, payment and invoice records: six years after the end of the financial year they relate to, to meet tax and accounting requirements.
- Customer care emails: up to two years after your enquiry is resolved.
- Mailing list: until you unsubscribe or ask us to remove you.
- Customer accounts: until you ask us to close your account, apart from order records we must keep.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time. To make a request, email hello@velmara-care.com. We’ll respond within one month.
If you’re unhappy with how we’ve handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
